How Fetchcondos.com collects, uses, and sells information — including information about people who never signed up for the platform.

This policy covers two different groups, and we describe both because our business touches both:
Fetchcondos operates from Florida and serves U.S.-based real estate transactions.
We use account and transaction data to operate the platform, fulfill document requests, process payment for our fees and pass-through provider fees, prevent fraud, and improve the service.
Fetchcondos' business model includes building and selling data products derived from the documents and transaction information we collect. This is different from most privacy policies you may have read, so we're being explicit about it:
- We compile information gathered through document retrieval — including property-level, association-level, and market-level data — into aggregated or de-identified data products, reports, and datasets.
- We sell and license these data products to third parties, which may include real estate technology companies, data aggregators, lenders, insurers, and research firms. Depending on how a product is built, this may constitute a "sale" or "sharing" of personal information under state privacy law (such as the CCPA/CPRA).
- We do not sell payment credentials, financial account numbers, or Social Security numbers that may incidentally appear in a document.
- Account holders and their clients can object to inclusion of a specific transaction's data in these products by emailing support@fetchcondos.com — before the request is submitted or at any time afterward. Objections received after documents are retrieved apply prospectively: we'll exclude the transaction's data from data products built or refreshed after we process the objection, but we can't recall aggregated or de-identified products already delivered to a licensee.
- If you are a third party named in a document we've collected (for example, an association board member or a seller) rather than a Fetchcondos account holder, you have rights described under "Your rights" below, including the right to know what we hold about you and to opt out of its sale, subject to the limits described there.
Where we use AI to summarize or extract structured facts from a document (for example, pulling assessment amounts or dates out of a budget), the document content is sent to our AI provider (Anthropic) through our own servers. It is used only to return your result, is not used to train the provider's general models, and is retained by the provider only transiently under our contract. AI output can be incomplete or wrong; it does not substitute for reading the underlying document.
To run the platform and fulfill requests, we share data with a small set of vetted service providers, each under contract:
We use cookies that are strictly necessary to keep you signed in and to remember your account preferences. We do not set third-party advertising cookies.
We retain transaction and document data for as long as needed to support the transaction, respond to disputes, and meet recordkeeping obligations common in real estate transactions, and thereafter in de-identified form as part of our data products. Server logs and error reports are retained for up to 90 days. If you close your account, we retain content associated with transactions you submitted (documents, requests) but disassociate it from your identifying account information unless legally required to keep it linked.
If you're an account holder, you can request a copy of your personal data, correct inaccuracies, or ask us to delete your account by emailing support@fetchcondos.com.
If you're a third party named in a document we've collected and are not an account holder, you may also contact support@fetchcondos.com at any time to request a copy of what we hold about you, or to register a standing opt-out from the sale of your personal information. We process a verified opt-out within 15 business days, and it applies to every data product we build or refresh after that date, whether or not a transaction involving your association is pending. Because our data products are frequently aggregated or de-identified, we may not be able to isolate or remove a single individual's contribution to a product already built or licensed; we'll tell you plainly if that's the case for your request.
If you're a California resident, you have additional rights under the California Consumer Privacy Act, including the right to opt out of the sale or sharing of your personal information — use the request channel above or, once available, the "Do Not Sell or Share My Personal Information" link on our site. If you're based in another state with a comprehensive privacy law, or in the EEA or UK, applicable rights under those laws apply as well. We respond to verified requests within the timeframe required by applicable law (30 days by default).
Account access requires authentication. Production traffic is HTTPS-only with strict transport security enforced at the application edge. We rotate credentials, scan dependencies for known vulnerabilities, and maintain an incident response procedure, including for documents that contain third-party personal or financial information.
No system is impervious. If we discover a security incident that affects your data, we'll tell you what happened, what we did about it, and what you should do, without spin.
Fetchcondos is not directed at children under 16 and we do not knowingly collect data from them.
We'll update this page when our practices change — including changes to what data products we build or who we license them to. Material changes are announced via in-app notification and email at least 30 days before they take effect. The "last updated" date at the top of this page reflects the most recent revision.
